Schedules for Success

While everyone’s days and opinions look different based on their priorities and preferences, there are a few popular tips that top agents recommend. Use these ideas to implement into your own schedule!

 

1. Start the day with your goals in mind

Start with your goal and work backwards – this goes for long term goals and daily goals. What steps do you need to take today to move the needle? Then SCHEDULE the time to produce those results.

Some common goals are:

  • I want to list 4 houses this month.
  • I want to make X amount of money this month/quarter/year
  • I want to work with X amount of clients this month/quarter/year
  • I want to have the freedom to spend more time with friends and family / only work X amount of hours

 

2. Avoid energy-suckers

Whether it’s a person, an item, a place, or something else, there are always going to be things that distract you. To avoid getting your time and energy sucked away by these things or people, you’ll need to first determine what your distractions are. From there you can block out your schedule to make sure those people or things are not there to distract you.

For example, if you can’t keep yourself off of social media, maybe you put your phone on mute or “do not disturb” for a couple of hours in the morning while you plan your day, work on contracts and listing presentations, etc. Give yourself time to focus. You can always call or text people back, there’s usually not an emergency that requires your instant response.

Or if you know that being in the brokerage office at certain times of day leads to too much socializing and not enough productivity, you can close your door (if you have your own office) and pretend you’re in a meeting. Or if you have a more relaxed schedule and don’t need to be in the office at certain hours, you might just choose to work from home or schedule appointments during the “social hours” and go into the office when you know there will be less distractions.

Everyone’s distraction-triggers and situations are different so pay attention to what is taking your time and energy each day, then plan accordingly.

 

3. Do the most difficult/important stuff first!

Don’t give yourself the burden of procrastination because once you start putting something off, the easier it becomes to continue that pattern. If you have an important task (especially one you really don’t want to do), schedule it for the morning and the beginning of the week (if applicable). Getting these difficult tasks out of the way not only helps you feel accomplished and gives you a “victory” but it also ends up helping you be more productive. 

There are a lot of daily tasks that are required of real estate agents in order to be successful, but some are more important than others. If you’re struggling to prioritize, go back to tip number one and nail down your goals so you can work backwards and determine the tasks needed (emphasis on need not want to do) to reach that goal. This will help you prioritize.

 

4. Use time blocking

Don’t multi-task and pull your attention in a million directions. This will lead to burn out, inattention, mistakes and frustration. Instead, to be more productive, implement time blocks.

Scheduling your day by sectioning off chunks of time, or blocking time, allows you to organize your day into management sections that keep you on track. These time blocks can be anything you want them to be, just go off of your to-do list and put your tasks into categories.

For example, if you need to work on generating leads, you may want to block off 2 hours in the morning to do your social media post scheduling, email marketing, make cold calls, or work on any of your other marketing activities.

Obviously, time blocking isn’t always able to be set in stone. As an agent, you know that sometimes you have to squeeze in appointments when they’re convenient for your buyer or seller. Use your best judgement, but it can be helpful to try to keep your appointments within a few hour window, or use your mornings to get all of your other work done so that you have the rest of the day to do showings or appointments if they arise.

 

5. Put it in your schedule/on your calendar

How many times has something fallen through the cracks because you forgot to put it in your calendar or on your schedule? It happens to everyone. A simple rule of thumb is: if it’s not on your schedule, it doesn’t exist.

This goes for time blocking too! Schedule out your time blocks so you don’t have unaccounted for time. This keeps you on track toward your goals and ensures you remain as productive as possible.

Keep yourself organized by making sure you have a planner or mobile calendar where you can put appointments, events, and other tasks into your schedule. 

 

6. Create a morning routine

If you don’t already have a morning routine, many agents and top performers across all industries swear by this tactic. Your morning routine can be anything that helps you feel good and focused, but the key to it is making it routine. You do the same thing every day. This helps you to be in peak mental condition and ready to conquer your goals!

If you don’t already have a morning routine, or are considering adjusting yours for better performance, we recommend reading The Miracle Morning by Hal Elrod. There are a few spin-offs but the gist of it is the same: you need a routine and it will be transformative.

There are some common elements to morning routines that the book (and other sources) recommend that you can choose from to piece together your perfect morning routine. Those ideas are:

  • Meditation
  • Exercise
  • Outdoor walking or yoga
  • Visualization
  • Prayer
  • Reading
  • Journaling
  • Audiobooks
  • Gratitude
  • Affirmations
  • Earthing/grounding
  • Getting AM sunlight
  • Cleaning up around the house
  • Creating your daily schedule/to-do list

8 – 9 AM: Schedule/Daily Task Review + Goal Setting + Prep for the Day

9 – 11 AM: Appointment Setting + Prospecting

5 – 5:30: Daily Wrap-Up + Prep for Tomorrow

5:30 – 7:30: Home + Family Time
